Introduction

Education as a Vaccine is seeking applications from qualified travel agencies to provide comprehensive flight booking services for our staff, consultants, and partners. As an international non-governmental organization working in Nigeria, we require reliable and cost-effective travel services to support our humanitarian and development operations.

Organization Background

Education as a Vaccine (EVA) is a non-profit organization dedicated to promoting childrens rights to health and protection from all forms of violence. Through capacity-building, direct support, and policy advocacy, EVA enhances the quality of life for these populations.

Scope of Services

The selected travel agency will be responsible for providing the following services:

• Booking of international and domestic flights for staff, consultants, and partners

• Process ticket issuance, changes, and cancellations.

• Providing competitive airfares and route options

• Process refunds and manage airline credits

• Providing 24/7 emergency travel assistance

• Advising on cost-saving measures

Required Qualifications

Applicants must demonstrate the following qualifications:

• Minimum of 3 years of experience in providing travel services to organizations of similar size

• IATA accreditation and relevant industry certifications

• Proven experience working with non-profit organizations or international development agencies

• Dedicated account manager(s) for the organization

• Robust online booking system compatible with our requirements

• Capacity to handle emergency travel requests outside regular business hours

• Strong relationships with major airlines serving our operational regions

• Transparent fee structure and billing processes

• Excellent track record in customer service and problem resolution

• Ability to prefinance flight bookings to the tune of 10 million Naira.

Contract Duration and Terms

The initial contract will be for six months with the possibility of extension based on satisfactory performance. The contract will include a probationary period of 3 months.

Application Requirements

Interested travel agencies must submit the following:

1. Company Profile: Including company history and relevant experience

2. Service Proposal: Detailing how the agency will meet the requirements outlined in this TOR

3. Fee Structure: Comprehensive breakdown of all service charges for local and international flights and pricing methodology

4. Client References: At least three references from current clients (preferably NGOs or international organizations).

5. Business Continuity Plan: Procedures for ensuring service continuity during emergencies

6. Staff Qualifications: CVs of key personnel who will be assigned to our account
